
Executive, Project Administration & Document Control (Contract)
This role is contractual basis and to be based in Jurong Island
- Providing administration support to the Project Management Department (logistics and accommodation arrangements, order
- Processing and document control), ensuring smooth workflow and efficiency and helping the team meet its targets by handling the important administrative tasks while ensure compliance.
- The main focus of this position will be directed towards the completion of required paperwork and assigned duties to enable the Project Management team to focus in meeting timely completion.
Site Administration Work (70% weightage)
- Arrange technical advisors/supervisors’ logistics and including travel arrangements and control of visas, permits and Jurong island pass
- Arrange technical advisors/supervisors’ accommodation
- Check Inward/Outward remittance and update the status to Mitsubishi Power Asia Pacific
- Management of office supplies such as Personal Protective Equipment
- Support setting up IT devices for technical advisors/supervisors with guidance of Mitsubishi Power Asia Pacific IT Department
- Assistant of the coordination with construction partners
Document Control Work (30% weightage)
- Organize and manage drawings at the site office
- Coordinate Overage, Shortage and Damage (“OSD”)* goods with construction partner and monitor the status in the headquarter in Japan
- Organize and manage other miscellaneous documents on site such as additional construction instructions, time sheets, daily work reports, procurement requisitions, etc
- Support organizing and managing installation records, witness test time management, etc. (Assistant for on-site QAQC work in term of document control.)
*Once the goods shipped by the headquarter arrive at site, construction partner conduct the inspection and issue the OSD report (if any) to the headquarter in Japan Headquarter to resolve such OSD.
Education level and/or relevant experience(s)
· Previous basic experience in Site / Project Administrator role
· At least GCE N or O levels
Knowledge and skills
· Experience in engaging with and communicating directly with project site personnels
· Self-motivated and have a methodical approach with attention to details
· Detail-oriented and meticulous
· Customer focused and ability to establish good working relationship
· Strong organizational skills with the ability to quickly assess, prioritizes work requests and meet deadlines
· Good Operations Skills
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
· Desire to continually improve
· A team player with a high level of dedication
· Strong sense of responsibility, initiative and commitment
