about the job

  • Provide reception support by managing visitors and directing them to the appropriate person or department.
  • Answer and manage phone calls, route them to the correct extension and take messages.
  • Schedule and confirm meetings, appointments and conference room reservations.
  • Receive, sort and distribute incoming mail and packages, and handle outgoing mail.
  • Maintain a tidy, organized and well-stocked reception area.
  • Manage employee movements, including onboarding new hires & clearing resignees.
  • Oversee the card access system, including issuing access issue cards & car barrier tags.
  • Provide administrative support, including logistics & meal arrangements for company events, vouchers preparation, stationery ordering, invoice verification, pantry item management, and distribution of company newsletter & newspaper.
  • Any ad-hoc tasks assigned by Supervisor / Manager.

You will be reporting to the Facilities Manager

skills and experience required

  • Good to have at least 1 years of experience in business administration/ customer service/receptionist functions
  • Must have good knowledge on Microsoft office/ Excel functions
  • You should be well-presented, able to communicate professionally with the guests & stakeholders at all levels.
