About Department and Purpose of the Position
This position facilitates efficient laboratory operations through the management of specimen handling, billing processes, and client relations. Serving as an interface between the laboratory, external clients, and internal stakeholders, the role contributes to financial performance, maintains data integrity, and assists with professional development initiatives. These functions align with the organization's goals of enhancing patient care and operational effectiveness.
Key Responsibilities
Primary Responsibilities and Duties (80%)
- Sorting and sending out of reports and specimens.
- Handle billing related matters. (E.g.: Charge Discrepancy, posting deposits, Dropped Charges)
- Generate billing report, check, and submit Monthly Billing Report for external parties.
- Check and submit Weekly Add-Test and Charges Listing for external parties.
- Track Capex/operating budget, staff training budget and other NUH-related funds.
- Perform procurement of office supplies, lab equipment, consumables, and stationery to ensure smooth operation.
- Process invoice payment, staff claims (e.g. travel, overtime) and other miscellaneous requests.
- Coordinate training activities/schedules of staff.
- Scan, file, and retrieve blocks and slides from in-house or off-site storage.
- Organise and coordinate meetings and events.
Secondary Responsibilities and Duties (20%)
- Liaise with Pathologists and External stakeholders for Re-Cut Services or Send-Out Tests
- Handle grossing, phone enquiries, charging, feedback and complaint.
- Manage professional development and external relations.
- Maintain good filing system.
- Manage contracts.
- Compile information and/or statistics as and when required.
- Any other projects / duties as directed by Supervisor.
Key Requirements
- At least Diploma or more than 5 years of administration experience.
- Responsive, attentive and be able to work under pressure.
- Customer Service orientated.
- Good IT skills.
- Good interpersonal skills.
- Good team player.
