Job Summary:

This Office Manager/Executive Assistant role is perfect for a candidate who thrives in fast-paced, dynamic environments and can seamlessly manage all aspects of facilities and business operations. As the go-to person in the office, we seek someone with strong business acumen, exceptional stakeholder management skills, and the ability to drive office efficiency.

Key Responsibilities:

Executive Support

  • Provide a full spectrum of secretarial support for 2 key senior leaders, including organising their calendars, facilitating meetings and schedules, and communicating key deadlines and deliverables to them
  • Coordinate travel arrangements and accommodation for 2 senior leaders, including booking flights, ground transportation, visa applications and renewal, and planning itineraries
  • Handling administrative reports, maintaining file systems, and submitting all expenses and claims

Office Management

  • Oversee office maintenance including stocking the pantry and supplies, equipment, and space/infrastructure
  • Manage a small team of Executive Assistants who will report directly to you
  • Serve as the point of contact for building and facilities vendors and build sustainable vendor relationships
  • Develop and implement office policies and procedures to improve operational efficiency, including space and budget planning, providing resources and solutions when requested and liaising regularly with management via performance reports
  • Coordinate internal office events and conduct site induction for new employees
  • Support local office HR & Finance department

Requirements:

  • Proven experience of 6-8 years in an office managerial capacity in a management consulting, professional or financial services.
  • Strong business acumen, with the ability to assess and prioritise multiple tasks and adapt quickly to shifting demands.
  • Excellent communication skills, and the ability to build relationships with stakeholders across diverse locations globally.
  • Ability to drive initiatives forward, set up systems, and wear multiple hats to meet the needs of the organisation.
  • A proactive, agile, and self-motivated mindset, capable of managing complex projects independently while balancing priorities.
