HR Executive
Job Summary:
We seek an experienced HR Executive with 7 to 8 years of experience to join our team. The ideal candidate will have a strong background in recruitment and selection, training and development, compensation and benefits, performance management, and placement and assignment for expatriates. Experience working in a Japanese company will be considered an advantage.
HR Functions
•Recruitment Management:
•Oversee the recruitment process, including sourcing candidates, scheduling interviews, and issuing employment contracts and work pass applications.
•Onboarding and Orientation:
• Conducted new employee orientations and managed the onboarding process to ensure a smooth transition for new hires.
•HR Policy Development and Implementation:
•Assist in developing, implementing, and maintaining HR policies and procedures following labour laws and company policies.
•Employee Benefits Administration:
•Support the administration of employee benefits, such as health insurance, office and travel benefits, work injury compensation (WICA), public liability, and group hospitalization plans.
•Claims and Leave Management:
•Review initial staff claims before approval and update leave records and other relevant documentation.
•Tax and Compliance:
•Calculate and submit IR21 (withholding tax) to IRAS for Japanese staff reassigned back to Japan.
•Train staff on sourcing and claiming rebates from the government.
•Ensure compliance with labour laws, maintain accurate HR records, and manage documents related to employment contracts, policies, and procedures.
•Payroll Administration:
•Manage payroll administration, including monthly payroll processing, CPF contributions, and annual income tax submissions.
•Salary and Bonus Management:
•Administer salary increments and bonuses based on performance evaluations and company policies.
•Ensure that salary adjustments and bonus allocations are fair, consistent, and aligned with performance outcomes.
•Communicate salary and bonus decisions to employees, clarifying and addressing any concerns.
Maintain accurate records of salary increments and bonus payments.
Administration Function
•Enquiries, Sourcing, and Procurement:
•Handle enquiries, sourcing, and procurement for various items and services, such as pantry supplies, copier machines, CCTV systems
•Liaise with relevant parties, including agents and government departments, as required.
•Regulatory Compliance:
•Check and ensure compliance with government department regulations and guidelines and align company operations accordingly.
•Office Management:
•Manage office requests, including handling electricity shutdowns, organizing fire drills, and noting essential office matters.
•Coordinate office projects such as previous office renovations and Syteline upgrades.
•Inspections and Audits:
•Attend and assist with random inspections of office premises by the Ministry of Manpower (MOM) and the National Environment Agency (NEA).
•Inventory Management:
•Check and close monthly stock in Syteline, ensuring accurate inventory record
Regional HR Functions(30%)
•
•Participate in Regional Community Meetings (RHRCM) in a yearly basis
•Serve as a member of the IHIAP HR team.
•Execute tasks assigned as part of the Centre of Excellence, such as Talent Acquisition, Compensation & Benefits, Employee Engagement, and other related functions.
•Any ad hoc job as assigned by the Regional HR Director
Qualifications:
- Bachelor's Degree or Diploma in Human Resources or related disciplines
- Minimum 4 to 5 years of experience in HR Generalist
- Strong organizational, critical thinking and communications skills
- Attention to detail and sound judgement
- Candidates who are IHRP certified are preferred
- Knowledge: Good understanding of the Employment Act and Manpower L
- Systems: Familiar with in-house payroll processing
- Can-Do Attitude: You are confident and willing to deal with problems or new tasks
