1. Job Overview

We are looking for a highly organized and detail-oriented individual to join our team as a HR, Admin, Accounts & Personal Assistant. This role is crucial in ensuring the smooth operation of our restaurant’s administrative, financial, and HR functions, as well as assisting senior management in day-to-day tasks.

The ideal candidate should be independent, proactive, and reliable, with the ability to handle multiple responsibilities efficiently.

2. Key Responsibilities

A. Human Resources (HR)

Recruitment & Onboarding:

• Assist in hiring and onboarding new employees (job postings, scheduling interviews, preparing contracts).

• Maintain and update employee records, contracts, and personal files.

• Manage work passes for foreign employees (if applicable).

Payroll & Employee Benefits:

• Process monthly payroll, CPF contributions, and claims.

• Track staff attendance, leaves, and OT calculations.

• Ensure compliance with MOM regulations and company policies.

HR Administration:

• Maintain employee handbooks and HR policies.

• Handle staff grievances and workplace concerns professionally.

• Organize training and staff development programs.

B. Administrative Duties

General Admin Work:

• Organize and maintain company records, files, and SOPs.

• Manage inventory for office supplies and handle procurement.

• Prepare business correspondence, documents, and reports.

Email & Communications:

• Respond to emails and phone inquiries professionally.

• Coordinate with suppliers, vendors, and customers as required.

Meeting & Scheduling:

• Arrange and schedule meetings for management.

• Prepare meeting agendas and take minutes.

C. Accounts & Finance

Financial Record-Keeping:

• Update Profit & Loss (P/L) statements and financial records.

• Assist in tracking daily revenue and expenses.

• Reconcile bank transactions and petty cash flow.

Payroll & Payments:

• Process monthly salary payments and CPF contributions.

• Handle supplier invoices and payments.

Financial Compliance:

• Assist in preparing documents for annual audits and tax filings.

• Ensure financial records comply with regulatory requirements.

D. Personal Assistant to Management

Supporting the Boss & Senior Management:

• Assist with personal tasks and appointments as needed.

• Coordinate schedules, travel bookings, and meeting arrangements.

• Ensure all important deadlines and reminders are managed efficiently.

3. Job Requirements

Minimum Diploma in Business Administration, HR, Accounting, or a related field.

1-3 years of experience in a similar HR/Admin/Accounts role preferred.

Proficient in Microsoft Office (Excel, Word, Outlook).

Familiar with accounting software (e.g., QuickBooks, Xero, MYOB, or equivalent).

Basic knowledge of Singapore employment laws and CPF calculations.

Strong attention to detail, confidentiality, and accuracy in data entry.

Excellent communication skills (written & spoken English and Mandarin preferred).

Ability to multitask, prioritize, and work independently.

4. Work Schedule & Benefits

Work Days: Monday – Friday (5 days)

Work Hours: 9 AM – 6 PM
