With direct leadership over a team of more than 80 administrative operations staff, the successful candidate will be instrumental in driving process improvements, enhancing collaboration across departments, and fostering a high-performance culture. This position requires a hands-on and proactive leader with strong organizational and stakeholder management skills, as well as exceptional people management and leadership abilities, to support the company’s continued growth in Asia.

Key Responsibilities include:

  • Operational Support & Execution: Oversee the daily business operations across seven offices in Asia, ensuring smooth workflows, adherence to policies, and operational efficiency.
  • Team Supervision: Manage and support a team of operations and administrative staff, providing guidance on workflow management and resource allocation.
  • Process Improvement: Identify inefficiencies and suggest process improvements to enhance operational effectiveness, including automation and digital solutions.
  • Financial Administration: Assist with financial processes such as billings, expense approvals, debtor follow-ups, and budget monitoring in coordination with the finance team.
  • Compliance & Risk Management: Ensure adherence to company policies, legal requirements, and risk management procedures across all operational functions.
  • Client & Stakeholder Coordination: Work closely with internal teams and external stakeholders to support service delivery and resolve operational issues.
  • Project Coordination: Support the implementation of strategic projects, such as workflow optimizations, office expansions, or regulatory compliance initiatives.

Qualifications and Expertise:

  • Education: A degree in Business, Operations Management, or a related field is preferred.
  • Experience: At least 10 years of experience in an operations or business support role, ideally within a professional services or corporate environment.
  • Regional Exposure: Experience working in Asia, particularly ASEAN and China, with an understanding of local culture and regional business operations.
  • Financial & Administrative Knowledge: Familiarity with financial processes such as budgeting, invoicing, and cost management.
  • Process & Technology Proficiency: Good understanding of workflow optimization and ability to implement operational improvements using technology.
  • Communication & Stakeholder Management: Excellent interpersonal skills, with the ability to coordinate effectively with internal teams, senior and external stakeholders.
  • Leadership & Team Management: Experience supervising and guiding operational or administrative teams, ensuring efficiency and collaboration.
  • Problem-Solving & Organizational Skills: Ability to proactively identify and address operational challenges in a fast-paced environment.
