Senior Warehouse Admin Officer (WMS)
We are seeking a highly skilled Senior Admin Officer to oversee warehouse operations while serving as the Warehouse Management System (WMS) Super User. This role combines administrative duties with the responsibility of ensuring the smooth functioning of the WMS, optimizing warehouse processes, providing user support, and ensuring efficient operations. The ideal candidate will have expertise in warehouse logistics, WMS administration, and a strong focus on process improvements.
Key Accountabilities
Warehouse Operations Management:
- Oversee the daily operations of the warehouse, ensuring that processes run smoothly, efficiently, and in accordance with company policies.
- Coordinate and support the physical movement, storage, and distribution of goods within the warehouse.
- Supervise the efficient flow of materials and products through receiving, picking, packing, and shipping.
- Ensure adherence to safety regulations and best practices in the warehouse.
- Manage inventory control and maintain optimal stock levels to meet operational demands.
WMS Super User Support & Management:
- Act as the WMS Super User, providing expert-level support to end users, ensuring that the system is used effectively across all warehouse functions.
- Troubleshoot WMS-related issues, identify root causes, and collaborate with IT and warehouse teams to resolve problems quickly.
- Configure WMS settings to align with warehouse operational requirements and business processes.
- Train warehouse and operational staff on WMS functionalities, processes, and system updates.
- · Serve as the point of contact for WMS-related queries, ensuring timely resolution of issues.
System Optimization and Process Improvement:
- Continuously monitor and evaluate WMS performance to identify opportunities for improvements, ensuring optimal system performance.
- Collaborate with warehouse, IT, and operations teams to identify inefficiencies and implement process enhancements.
- Recommend system changes or upgrades to enhance operational efficiency, reduce costs, and improve accuracy.
Data Management and Reporting:
- Ensure the accuracy and integrity of data within the WMS, particularly inventory levels, movement tracking, and order status.
- Generate regular operational and inventory reports from WMS, providing insights to senior management on performance metrics and KPIs.
- Support the creation of customized reports and dashboards to assist management in strategic decision-making.
Cross-Departmental Collaboration:
- Collaborate with IT, warehouse management, logistics, and procurement teams to align WMS operations with overall business goals.
- Coordinate with the IT department to implement system updates, troubleshoot technical issues, and ensure seamless integration between WMS and other business systems (e.g., ERP, CRM).
- Act as a liaison between warehouse staff and IT, ensuring communication is clear, and operational challenges are addressed promptly.
Compliance and Audit:
- Ensure all warehouse operations comply with internal policies, industry standards, and regulatory requirements.
- Assist in conducting internal audits to ensure adherence to operational procedures and warehouse best practices.
- Help in maintaining up-to-date system logs and documentation for audit purposes.
Qualifications & Experience
- Bachelor’s degree in Administration, Information Technology, Logistics, or a related field.
- Minimum of 5 years of experience in warehouse operations, including hands-on experience with Warehouse Management Systems (WMS)
- Proven expertise in managing WMS platforms, with knowledge of system configuration, troubleshooting, and user port.
- Strong understanding of warehouse operations, inventory control, logistics, and distribution processes.
- Proficiency in data management, reporting, and using WMS-related software tools (e.g., SAP, Oracle, Manhattan).
- Experience in training staff and supporting system users.
