Position Overview:

We are seeking a detail-oriented and proactive Administrative and Travel Coordinator to join our team. This role will be responsible for efficiently managing travel arrangements, providing general office administrative support, and assisting with travel desk operations and events management. The ideal candidate will possess strong organizational skills, excellent communication abilities, and the capability to multitask effectively in a fast-paced environment.

Key Responsibilities:

1. Travel Arrangement:

a. Coordinate all aspects of travel arrangements including letters of appointments, via applications/ renewals, flight bookings, accommodation bookings, and airport transfers for senior management, employees and guests.

b. Manage claims related to travel expenses.

c. Ensure seamless travel experiences for employees and guests.

2. General Office Administrative Support:

a. Oversee facilities management (all offices and expat apartments), including coordinating maintenance and repairs.

b. Manage stationery supplies and office inventory.

c. Maintain office cleanliness standards and coordinate with cleaning services.

d. Manage office cleaners.

e. Manage pantry supplies and place orders as needed.

f. Assist with onboarding processes including workwear and name cards preparation.

g. Maintain and update contact lists.

h. Maintain TVSM common email distribution lists.

i. Provide backup support for HR and Office Admin colleagues during their absence.

j. Perform ad- hoc duties as assigned by the management.

3. Events Management:

a. Assist in the planning and execution of employee wellness programs and other company events.

b. Collaborate with other HR and office admin team members to ensure successful event coordination.

c. Create EDMs for internal employee engagement initiatives

Requirements:

· Diploma in Business Administration, or related field.

· Min 3-4 years of proven experience in administrative support roles, preferably with travel coordination

· Strong organizational with the ability to prioritize tasks effectively

· Excellent communication and interpersonal skills.

· Proficiency in Microsoft Office suite (Word, Excel, Powerpoint)

· Ability to work independently and collaboratively in a team environment

· Flexibility to adapt to changing priorities and deadlines

· Attention to detail and problem- solving abilities
