The Administration Operations team plays a key role in Rainbow Centre's Early Intervention Services, ensuring the smooth operations of the programme and assists the centre leaders in matters pertaining to financial, personnel and general administration. The Executive, Administration Operations is responsible for the quality of client engagement in the programme, serving as liaisons between the programme and its clients, ensuring excellent customer service and client satisfaction. The postholder also assists the Senior Manager to achieve excellence in programme administration and operational support, including but not limited to secretariat support for meetings, vendor management, inventory management, and data management.
Critical Work Functions
The Administration Operations team plays a key role in Rainbow Centre's Early Intervention Services, ensuring the smooth operations of the programme and assists the centre leaders in matters pertaining to financial, personnel and general administration. The Executive, Administration Operations is responsible for the quality of client engagement in the programme, serving as liaisons between the programme and its clients, ensuring excellent customer service and client satisfaction. The postholder also assists the Senior Manager to achieve excellence in programme administration and operational support, including but not limited to secretariat support for meetings, vendor management, inventory management, and data management.
Critical Work Functions
- Efficient and Effective Office and Service Administration
- Manage the coordination and administration of student matters including but not limited to admission, withdrawals, financial assistance, and recordkeeping
- Manage the financial operations, including but not limited to payment collections, payment and claims processing, and compliance with financial regulations and funding requirements
- Contribute to periodic internal systems and processes reviews, and identify opportunities to enhance efficiency and service delivery
- Effective Data Management and Reporting
- Collaborate with other team members to provide accurate and relevant data for reporting, research, and evaluating administrative office effectiveness
- Prepare comprehensive reports and submissions required by internal and external stakeholders
- Client-centric Service
- Provide timely and accurate assistance to students, parents, and other stakeholders on matters related to fees, payments, transport, and other inquiries
- Assist in maintaining positive relationships and partnership with stakeholders, such as students, parents, teachers, vendors and the broader community
- Continuing Professional Development
- Remain up-to-date and compliant with all relevant legislation, organisational procedures, policies and professional codes of conduct in order to uphold standards of best practice
- A recognised and relevant Diploma from an Institute of Higher Learning in Singapore
- Prior working experience in a Social Service Agency (“SSA”) or at a Preschool setting will be an advantage
- Working knowledge of Microsoft Office and Google Workspace suite of applications and IT systems
- Strong interpersonal, organisation and communication skills, as well as the ability to work well in teams
- Ability to anticipate, understand, and respond effectively to clients needs
- Analytical skills to identify root causes, evaluate information, and implement practical solutions
