Job Description: HR Assistant / Executive
HR Functions:
- Assist in the recruitment and hiring process for direct employees.
- Prepare and monitor work permits (new and renewal) for direct employees
- Draft and issue employment-related letters, including employment offers, salary adjustments, increments, and promotions.
- Update and maintain the foreign workers levy report.
- Process payroll for direct workers.
- Handle income tax submissions for direct foreign workers
- Maintain both hard copy and digital personal files for direct employees.
- Apply leave, scan medical certificates, and update leave records in the InfoTech system on behalf of staff
- Monitor staff attendance in the InfoTech system and ensure records are up to date.
- Assist in the staff onboarding process, including issuing door access cards and uniforms
- Conduct employment contract briefings for direct workers.
- Facilitate bank account openings for direct workers.
- Coordinate courses such as BCA CoreTrade training and CSOC courses.
- Update the training matrix for customer audits.
- Maintain effective communication with workers.
General Administrative Duties:
- Maintain foreign workers' passport records and remind them of renewals nearing expiry.
- Process employees’ medical claims.
- Assist in organizing company events, including sourcing and obtaining necessary approvals.
- Support staff housing-related matters.
- Coordinate flight bookings for direct workers on home leave and repatriation.
- Update and maintain the monthly staff contact list.
- Manage the MHC system, including issuing MHC cards to staff and downloading invoices.
- Monitor and manage stock levels of uniforms.
- Check and replenish factory cleaning supplies.
- Perform any other assigned duties as required.
