
Administrative Assistant
Responsibilities
- Provide administrative and operational support in the clinic, including:
- Administrative tasks such as sorting and digital archival of documents, internal dispatching, document mailing, receiving of item, inventory management etc.
- Coordinate and provide support for all centre meetings and events.
- Maintain cleanliness, safety and order at the centre’s non-treatment areas.
- Registration and onboarding of new patients, updating of databases accurately
- Liaison, preparation and submission of claims to respective agencies/insurance companies
- Monitor the AR collection and closely follow up the overdue accounts
- Liaise with clinical staff on stock management and accurate/appropriate replenishment, make timely and accurate inventory purchases, manage centre billing activities, ie. issuance/tracking of orders and invoices, ensure timely weekly/monthly reporting and payment.
- Handle phone calls and front counter duties especially during switchover of shifts and communicate messages accurately to respective staff.
- Support the clinical team to assist in patients' general enquiries and screen the patients’ general condition, administer safe management measures etc.
- Assisting Nurse Manager to coordinate all aspects of patient’s appointment bookings.
- Additional operational related support as required by the company
Job Requirements:
- GCE 'O' / 'N' level or NITEC qualifications
- Preferably with at least 2 years’ experience in a similar healthcare capacity or 4 years in an administrative/frontline role.
- Preferably with experience in handling procurement processes
- Meticulous and with strong administration, coordination and organisational skills
- Strong communication and interpersonal skills
- Able to multi-task and work independently in a fast-paced and dynamic environment
- Proficient in Microsoft Office applications
