Job Overview:
The Assistant Manager for Site Quotation & Planning is responsible for preparing and managing site-specific quotations, coordinating with clients on maintenance issues, and ensuring the timely execution of projects by planning material, equipment, and job timelines. This role requires close collaboration with both the client and internal teams to ensure that all site operations run smoothly, on budget, and according to specifications.
Key Responsibilities:
- Assist with Site Quotation:Prepare detailed and accurate site-specific quotations based on client requests and project requirements.
Work closely with the sales and procurement teams to ensure that quotes are competitive and reflect accurate pricing for labor, materials, and equipment.
Ensure that all quotations align with the project scope, specifications, and deadlines.
- Job Timeframe Planning:Develop detailed schedules and timeframes for site-based projects to ensure timely delivery.
Coordinate with project managers, teams, and subcontractors to create realistic timelines and allocate resources effectively.
Monitor and adjust project schedules as necessary to accommodate delays or unforeseen issues.
- Site Material & Equipment Planning:Plan, source, and allocate necessary materials and equipment for site projects, ensuring all resources are available before project commencement.
Coordinate with suppliers to ensure timely delivery of materials and equipment as per the site requirements.
Track inventory and manage stock to avoid any shortages or delays in project execution.
- Coordination with Customers on Defects & Maintenance:Act as a liaison between the company and customers, especially for handling maintenance requests and defect resolutions.
Coordinate with customers to address any concerns related to defects, warranties, or maintenance issues, ensuring timely responses and resolution.
Work with the technical and operations teams to provide solutions and updates to customers on the status of maintenance or repair work.
- General Responsibilities:Support the Site Manager and senior team members in managing site operations and ensuring quality standards are met.
Keep track of all correspondence, changes in project scope, and client feedback to maintain clear communication and project continuity.
Ensure adherence to safety standards and regulations at all sites.
Prepare reports for senior management, including progress updates, issues, and milestones.
Qualifications:
- diploma in Construction Management, Engineering, or related field.
- Minimum 3 years of experience in project management, quotations, or site operations (preferably in construction or facilities management).
- Strong knowledge of project planning, materials management, and site operations.
- Excellent communication and interpersonal skills, with the ability to work directly with clients.
- Proficient in MS Office (Word, Excel, PowerPoint) and project management software (e.g., MS Project, Primavera).
- Knowledge of defect management and maintenance coordination is a plus.
Preferred Skills:
- Experience with site planning, logistics, and resource management.
- Ability to resolve client issues and manage customer expectations.
- Strong problem-solving skills and ability to prioritize tasks effectively.
- Team leadership or supervisory experience is an advantage.
