Back Office Administrative Assistant
Job Overview
We are seeking a Back Office Administrative Assistant to manage grant
administration, legal documents, customer outreach, and office duties. The role
focuses on maintaining organized documentation, managing workflows, and
communicating with IP partners and customers.
The position requires strong organizational skills and multitasking abilities,
combining administrative work with customer engagement.
Key Responsibilities
Grants and Funding
- Following up on grant deadlines and collating relevant grant documentations
- Post-grant administrative tasks such as handling claims
Legal Document Management
- Liaising with IP partners (IP lawyers, IPI, consulting firms)
- Follow up on IP application deadlines
- Follow up on IP related payments
- Management of Non-Disclosure Agreements (NDAs)
- Management of Memorandum of Understandings (MoUs)
- Management of other business related legal documentations such as licensing agreements etc
Outreach and Correspondence
- Perform outreach activities to identified prospective customers such as emails, cold calls etc.
- Respond to enquiries from company website or company enquiry email address
- Keep a correspondence record for companies and product interests
- Based on correspondence records, perform follow up for companies that have not responded
Office Admin Support
- Documentation and upkeep of company level meeting minutes, progress reports and other administrative documents including billing and invoice records.
- Management and organization of EtaVolt shared drive
- Upkeep of www.etavolt.com with regular updates of company activities or industry news
- Management of EtaVolt LinkedIn account with regular updates of company activities or industry news
- Implement any suitable administrative practices and standard operating procedures to enhance office efficiency and productivity
Job Type: Full-time
Pay: $4,000.00 - $4,500.00 per month
Schedule:
- Monday to Friday
