Responsibilities
- Prepare, process, and follow up on purchase orders as directed by the Purchasing Manager or Executive.
- Maintain records of all purchase orders, including tracking order status and updating stakeholders on delivery timelines.
- Communicate with suppliers to confirm order details, pricing, and availability.
- Resolve basic issues related to orders, deliveries, or invoices under the guidance of senior team members.
- Maintain a supplier database with up-to-date information.
- Assist in monitoring inventory levels and alert the procurement team of potential stock shortages.
- Help with stock checks and ensure records reflect accurate inventory levels.
- Maintain accurate and organized procurement files, including purchase orders, invoices, and correspondence.
- Support the procurement team with general administrative tasks, such as data entry, filing, and organizing documents.
- Assist in preparing and updating purchasing documentation as needed.
- Ensure all purchasing activities are in compliance with company policies and guidelines.
- Support adherence to regulatory requirements and company standards for all purchasing activities.
- Perform other duties as requested by management
Requirements
- Min 1 years in an administrative or purchasing role (internship or entry-level experience in procurement is a plus).
- Strong organizational skills with attention to detail.
- Basic proficiency in Microsoft Office Suite, especially Excel.
- Good communication skills and a proactive approach to problem-solving.
- Ability to multitask and handle time-sensitive tasks effectively.
