Responsibilities:

  • Supervise the entire order processing workflow to ensure timely and accurate fulfillment of customer orders.
  • Address customer inquiries, complaints, and escalations promptly with a professional, solutions-focused approach.
  • Track and monitor delivery progress, providing customers with regular updates and addressing any delays effectively.
  • Manage backorders, ensuring efficient resolution and clear communication with customers.
  • Review and approve customer claims and credit memos within the SAP system.
  • Collaborate with warehouse and logistics teams to manage outbound order volumes and deliver accurate forecasts for budgeting and manpower planning.
  • Facilitate regular meetings with customers, internal staff, and cross-departmental teams to build strong relationships and address any concerns.
  • Monitor and follow up on overdue payments, ensuring timely resolution while maintaining positive customer relationships.
  • Travel as needed to meet with suppliers for business discussions and relationship management.
  • Ensure adherence to Security Export Control regulations, including conducting customer and end-user screenings when required.
  • Prepare annual sales forecasts, with quarterly revisions based on actual performance and market trends.
  • Analyze monthly sales expectations, identify variances, and determine factors influencing sales trends and volume.
  • Develop and present monthly KPI reports for management, highlighting accomplishments, challenges, and areas for improvement.
  • Establish departmental objectives and define KPIs for team members, ensuring alignment with company goals.
  • Approve staff leave requests through the system while maintaining adequate operational coverage.
  • Conduct annual and semi-annual goal-setting sessions with staff, followed by performance appraisals.
  • Undertake additional tasks and responsibilities as assigned by management.

Requirements:

  • Diploma/ Degree in any fields
  • At least 3 - 5 years of customer service, order management and delivery management
  • Prior experience in managing a team
  • Knowledge of SAP
  • Proficient in Microsoft Excel including functions such as VLOOKUP, PivotTables, and IF functions
