Job Summary: We are seeking a detail-oriented Human Resources Recruitment Assistant to support our recruitment team in finding, attracting, and hiring the best talent. In this role, you will assist with various recruitment activities, including candidate sourcing, interview scheduling, and maintaining candidate records. Responsibilities:
Office Management: Oversee general office operations, including managing incoming calls, emails, and mail distribution. Maintain office supplies, equipment, and ensure a tidy and organized workspace.
Scheduling and Calendar Management: Coordinate and maintain schedules, appointments, and meetings for executives and team members.
Document Management: Prepare, edit, and proofread documents, reports, and presentations. Organize and maintain digital and physical files to ensure easy retrieval of information.
Data Entry and Record-Keeping: Accurately enter data into relevant databases and maintain records of various company activities, transactions, and contacts.
Travel Coordination: Assist in making travel arrangements for employees, including flights, accommodation, and transportation.
Financial Support: Assist in processing invoices, expenses, and purchase orders. Collaborate with the finance team to ensure accurate bookkeeping.
Customer Support: Provide friendly and professional assistance to customers and visitors, addressing inquiries and directing them to the appropriate departments.
And any other ad hoc tasks.
Requirements:
- Proven experience as an Administrative Assistant or in a similar administrative role.
- Proficiency in using office software (e.g., Microsoft Office suite) and familiarity with office equipment (e.g., printers, scanners).
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail, accuracy, and commitment to maintaining confidentiality.
- Exceptional communication skills, both written and verbal.
- Ability to work independently and collaboratively in a team-oriented environment.
- Problem-solving abilities and a proactive approach to handle challenges.
- High level of professionalism and a positive, friendly attitude.
