The Role

A Purchasing Executive is responsible for managing the procurement of goods and services essential for an organization's operations. Key responsibilities include parts purchasing, sourcing and value-added proposals, maintaining customer satisfaction and engaging in price negotiations.

Parts Purchasing:

  • Receive requests from factories for new parts and send quotation inquiries to suppliers on the approved vendor list (AVL). Review the quotes received with the mother factory's purchasing department and negotiate with suppliers to secure the best price in alignment with the global purchasing strategy.
  • For new parts from suppliers not on the AVL, send RFQs to at least three vendors, negotiate to obtain the most competitive pricing, and submit samples and specifications for approval from the mother factories. Obtain the approved technical drawings from the factories and forward them to the supplie

Sourcing for value-added proposals:

  • Identify and source new parts and potential suppliers, propose new parts, and suggest substitute parts through value-added proposals. Conduct sales visits to potential customers to assess their needs, respond to new inquiries, and secure new business opportunities to drive sales growth.

Maintain Customer Satisfaction:

  • Build strong relationships with customers by understanding their needs and promptly addressing their requests. Keep customers informed about part changes and supplier discontinuations. Collaborate with suppliers to resolve customer complaints, such as defective returns, delivery discrepancies, or replacements. This helps foster trust, boost overall purchase volume, and develop new accounts.

Price Negotiation Activities:

  • Negotiate prices for customers with suppliers twice a year. Review cost adjustment requests from parent factory when requested to achieve the overall cost effectiveness and achieve total cost merits on the finished products.

Requirements:

  • Bachelor’s degree/ diploma in Business Administration
  • 2 years of experience in procurement related experience
  • Have experience or knowledge in SAP
  • Proficient in MS office
  • Knowledge of how a trading company worked / logistics industry /engineering or manufacturing background preferred.
  • Japanese JLPT level 3 and above is of advantage as liaising with Japanese may be required.
