Order Fulfilment Coordinator

As an Order Processing Coordinator, you will be interacting directly with our customers and be the Voice of the Customer within Frosts & Quix and manage the sales order process through to shipment.

Work location: Tuas

Main responsibilities:

1. Retrieve and respond to customer emails, WhatsApp messages, and phone calls in a timely and professional manner.
2. Check the availability of ordered items in the system. If any items are unavailable, suggest suitable replacements to customers.
3. Process orders and manage warehouse shipments for both food service and retail customers using the Microsoft Business Central system.
4. Print invoices and attach them to corresponding purchase orders for accurate record-keeping.
5. Apply for gate passes or loading bay bookings as required for delivery scheduling.
6. Review Proof of Delivery (POD) once contractors return invoices for HD orders and update the log sheet accordingly.
7. Collaborate closely with the logistics team to ensure stock availability, manage weights, and coordinate delivery timings.
8. Process weekly expired returns Purchase Orders (PO) from retailers in Business Central.
9. Work closely with the Food Service team’s salesperson to ensure stock availability for customer orders.
10. Handle customer inquiries and forward any complex issues to the appropriate salesperson.

Requirements:

• Diploma or equivalent qualification.
• Strong command of English, with proficiency in one other language.
• Experience with Microsoft Business Central is a plus.
• Proficiency in Mandarin is an added advantage.
• Previous experience in the food industry is a bonus.
• Attention to detail and strong organizational skills.
• Excellent communication skills, both written and verbal.
• Ability to work collaboratively with various teams to ensure smooth order fulfilment and customer satisfaction.
  

Note: Salary will be commensurate with experience. Knowledge of the food industry will be considered an added advantage.
