Key Responsibilities
As the Office Manager, you will oversee the efficient operation of the office, ensuring a positive work environment and providing support across various administrative functions. Your responsibilities will include:
- Managing all aspects of office administration, including maintenance, appearance, and overall functionality.
- Serving as the administrative assistant to the management team, handling travel arrangements (e.g., flight and hotel bookings).
- Coordinating IT-related tasks, such as resolving server or printer issues and managing equipment requests.
- Organizing and executing employee experience initiatives, events, and social welfare activities.
- Providing guidance to employees and managers on office policies and ensuring compliance.
- Overseeing office supplies, vendor relationships, and procurement processes.
- Coordinating office maintenance and repairs, liaising with building management, and ensuring proper functionality of office equipment.
- Implementing and maintaining office policies and procedures in line with regulations and company guidelines.
- Acting as a role model in fostering a positive and collaborative work environment.
- Managing security systems, including access control and CCTV, and overseeing employee access cards.
- Ensuring compliance with health and safety regulations, conducting regular safety inspections, and implementing emergency protocols.- Administering office budgets, processing invoices and expenses, and maintaining accurate financial records.
- Managing onboarding and offboarding processes, including equipment preparation, desk setup, insurance administration, and business cards.
- Welcoming visitors and handling incoming calls for the Singapore office.
- Regularly monitoring and replenishing pantry and stationery supplies.
- Ensuring appliances, such as coffee machines, microwaves, and refrigerators, are maintained in good working condition.
- Leading and managing office-related projects as needed.
Qualifications
- A minimum of 3 years of experience as an Administrative or Office Manager in a small-to-medium-sized organization.
- Proven ability to work effectively with individuals at all organizational levels.
- Demonstrated excellence in delivering high-quality employee service.
- Exceptional written and verbal communication skills in English and Mandarin.
- Strong time management skills with the ability to prioritize and multitask effectively.
- Proficiency in completing complex administrative tasks with minimal supervision.
- Ability to build positive relationships with both internal and external stakeholders.
- A collaborative team player with excellent interpersonal skills.
- Proficiency in Microsoft Office applications.
- Experience working in a global or multicultural environment.
