  • Responsible for handling incoming and outgoing calls including distribution of any messages.
  • Receive, inform and guide visitors including co-ordination with employees. Coordinate and distribute refreshments.
  • Co-ordinating client requests for taxis or transport
  • Responsible for maintaining all contact registers including suppliers/contractors
  • Responsible for management, maintenance and upkeep of the front office/ reception area – clean and presentable at all times
  • Operating security gate controls, management of visitor access passes and access control system
  • Assist in the generation of work requests/payment approvals and travel requests on behalf of the facilities management team
  • Provide assistance in general administrative activities and any other duties as assigned by Senior Facilities Management team including travel requests & booking arrangements
  • Maintain conference room booking schedules to maximise efficient use of space
  • Manage the mailroom and perform associated functions including management of mail service and courier contractors
  • Receive and despatch couriered items
  • Participate as a key team member in responses to emergency situations
  • Assist with arranging of ‘cover’ during periods of Annual Leave.
  • Co-ordinate and assist Client with local office events
  • Consolidate information & generate reports, letters, communications & documents as required by management
  • Maintain Helpdesk system. Ensure that facilities staff are made aware of defects requiring action in a timely manner
  • Maintain current lists for on-call officers/fire wardens, etc. for use in cases of emergency
  • Contribute as an active member of the facilities team.
  • Key management responsibilities including securing and issue of keys in accordance with approved site procedures.
  • Manage all aspect of the Office Assess Control System including currency of cardholder records and temporary passes
  • Other duties as reasonably directed by the Facilities Manager or Senior Account Management
