This will be an exceptional journey if you are looking to broaden your skills and make a meaningful impact on your career.We are looking for a collaborative individual who is organised, meticulous and able to perform in a fast-paced environment to join our Asia based operations servicing the region.About the RoleAs the Project and Office Administrator, you will be supporting Business Leaders to shape the future of this growing region for years to come.This opportunity will enable you to make an impact in shaping the work environment in our new Indonesia office. You will have the autonomy to bring your ideas and suggestions to live with high visibility working with Business Leaders.The key focus areas of the role will include:
  • Providing comprehensive project and administrative support to the team.
  • Support the team in research, document preparation and reporting.
  • Maintain GHD systems, projects, proposals, opportunity tracker, business development, safety and quality with up to date and accurate data.
  • Complete GHD mandatory training, safety and development requirements.
  • Contact point for office including landlord, cleaning, maintenance and supplies.
  • Oversee and support all administrative duties in the office to ensure that office is operating smoothly.
  • Organise meetings and broader events including attendee invites, room bookings, accommodation, catering etc.
  • Identify improvement opportunities for process and office management.
  • Use initiative to proactively identify and resolve issues before they escalate.
  • Maintain a high level of professionalism, confidentiality and exercise sound judgement in all verbal and written communication.
  • Assist in the onboarding process for new hires.
  • Coordinating inbound and outbound travel and accommodation requirements.
  • Familiar with finance processes to support AP, AR, expense claims and various reconciliations.
Qualifications required to be successful in the role:
  • High school diploma, degree or any equivalent professional certification is preferred.
  • Experience in MS Office suite, MS Teams, SharePoint and proven ability to learn new software packages/applications.
  • Ability to work both independently with limited supervision and as part of a team.
  • Effective networking and collaboration with both internal and external parties.
  • Excellent communication, attention to detail, interpersonal skills and presentation.
  • A strong focus on customer service and delivering outcomes.
  • Exceptional written and verbal communication skills in English and Bahasa. Any additional language skills will be a bonus.
  • Comfortable with occasional travel, depending on business needs.
  • An ability to work autonomously and collaboratively onsite at the office and across geographies.

The role and responsibilities are indicative and may be subjected to changes, depending on business needs.
