Job Summary
Support business operations and ensuring the project management and execution of key projects. Work across multiple functions, including HR, Finance, Legal, and Investments, to streamline processes and enhance efficiency. This role requires strong organizational skills, attention to detail, and the ability to coordinate cross-departmental initiatives in a fast-paced environment.
What you will do:
- Provide timely and effective administrative support to the management team, ensuring smooth day-to-day operations.
- Draft and manage communications, collaborate on leadership messaging, and facilitate efficient information flow.
- Plan, organize, and arrange travel, accommodations, itineraries, and correspondence; manage expense reports with accuracy and timeliness.
- Plan, organize, and execute events such as meetings, team-building activities, client dinners, and special projects.
- Maintain confidentiality and discretion while managing the management’s administrative affairs; anticipate needs and proactively resolve issues.
- Provide sophisticated calendar management, troubleshoot conflicts, and prioritize inquiries and requests.
- Support management by tracking deliverables, following up on action items, and bringing together appropriate resources to address organizational needs.
- Serve as the primary or secondary point of contact for internal and external stakeholders regarding logistics, inquiries, and communications.
- Work collaboratively with administrative teams to assemble and proofread business documents, reports, and presentations.
- Support office administration duties, including minute documentation, secretarial tasks for meetings, and managing office inventory and staffing.
- Develop and implement systems to track key milestones, timelines, and deliverables, ensuring timely completion of tasks.
- Coordinate cross-functional collaboration to enhance back-office efficiency and streamline project or deal execution workflows.
- Oversee financials or operations of other business units, ensuring efficiency and alignment with organizational goals, preparing reports and recommendations for management.
- Coordinate vendor management processes, including sourcing, contracts, and compliance, for business operations and executive tasks.
- Identify opportunities for operational improvements within business units and vendor relationships, implementing solutions where necessary.
What you should bring:
- A Bachelor’s degree in Business Administration, Operations Management, or a related field is preferred.
- 2-3 years of experience in an executive administration or operations role, preferably in a dynamic, fast-paced environment.
- Experience in vendor management and contract administration is advantageous.
- Experience in a financial and/or deal-brokering environment is advantageous.
- Fluency in Business Chinese is advantageous.
- Familiarity with financial reporting, compliance, and due diligence processes is an advantageous.
- Strong organizational, analytical, and project management skills.
- Exceptional interpersonal and communication skills and professionalism, with the ability to navigate high-profile client-facing environments, including private and public meetings, formal dinners, and events.
- Proven ability to engage with public and/or private stakeholders, and senior executives while maintaining discretion, tact, and confidentiality in all interactions.
- Highly proficient in Microsoft Office Suite and project management tools.
