Introduction
As a Boarding Executive (Facilities Management), you will be responsible for overseeing and optimizing the organization’s physical assets to ensure a safe, efficient, and well-maintained environment. Your role will involve managing facilities, coordinating essential services, and addressing operational needs to support the boarding school community effectively. Duties & Responsibilities
- Supervise the performance of term contractors (e.g., facilities maintenance, cleaning, pest control) within the residential facilities.
- Assist the school in implementing preventive and ad-hoc facilities maintenance and housekeeping programs for all buildings and M&E installations, ensuring compliance with statutory and authority requirements.
- Work with the team to handle complaints, feedback, and incidents related to facilities maintenance, cleanliness, and pest control.
- Provide feedback and assist the school in formulating and updating standard operating procedures for routine and preventive maintenance related to facilities, cleanliness, and pest control.
- Support the school’s sustainability efforts in alignment with national environmental objectives, such as implementing eco-friendly infrastructure improvements, energy-efficient solutions, and waste reduction strategies to ensure sustainable facility operations.
- Collaborate with internal stakeholders to develop green initiatives, promote sustainable practices among staff and students, and cultivate a long-term culture of environmental responsibility within the school community.
- Assist in apartment inspections, defect rectifications, asset enhancements, and minor improvement works.
- Prepare invitations for quotations and tenders related to facilities maintenance and housekeeping.
- Review and endorse contractors’ claims for payment.
- Attend monthly contractors’ meetings and assess their performance.
- Source and compile data for the annual budgeting of funds for repairs and improvement programs.
- Escalate critical issues, including complaints and requests, to the Reporting Officer for further action and decision-making.
- Oversee fire safety and estate security matters.
- Perform general administrative duties, including assisting students, parents, and teachers from diverse nationalities as needed.
Requirements
- Diploma in Facility Management, Mechanical/Electrical Engineering, or a related field.
- At least 3 years of experience in facility management or a related role.
- Strong organizational, communication, and interpersonal skills.
- Proficiency in data analysis and data-driven problem-solving.
- Ability to write clear and concise reports and specifications.
- Familiarity with health and safety regulations and sustainability practices.
- Possession of a valid Fire Safety Manager (FSM) Certificate is an advantage.
- Ability to work independently as well as collaboratively within a team.
- Willingness to reside at the boarding school and work night shifts on weekdays and/or weekends is a plus.
