We are looking for an driven individual with an attention to detail to join a growth stage biotech company and handle the finance, HR and adminstration function of the company. the candidate will work closely with senior management team and will have opportuinty to grow with the company.
Responsibilities
Finance
o Collect and archive receipts / invoices for all expenses and record all expenses in a ledger (book keeping)
o Process payments
o Place fixed deposits and execute FX conversions as required
o Coordinate monthly cost projection report
o Produce monthly budget deviation report
o Coordinate with external accountant for annual report, income tax filing, etc.
o Manage bank relationships
HR
o Process monthly salary payments (payroll)
o Submit CPF payments for staff
o Manage staff leave (including required submissions to MOM)
o Manage satff benefits
o Manage IR8A for employee income tax submission, and IRAS auto-inclusion scheme submissions
o Prepare employment contracts
o Manage / apply for Employment Passes
o Procurement
o Coordinate quotations from vendors
o Establish credit terms / account registration for new vendors
o Prepare and archive purchase orders
o Track shipments / deliveries and archive delivery orders
o Monitor customs clearance
o Corporate secretariat
o Coordinate with external Corporate Secretariat for all secretariat matters (e.g., annual general meeting, share distributions, board resolutions, etc.)
Administration
o Coordination of internal and external meetings
o Coordinate and receiving goods from vendors
o Provid high level administration support for the company
o Provide office management for company eg) purchasing of administration equipment, scheduling cleaning etc.
o Other
o Ensure compliance with safety requirements of government (e.g. update Risk Assessment) and lab facility provider
o Update Standard Operating Procedures
o Ensure adequate insurance coverage for Singzyme (e.g. IP liability) and its staff (e.g. medical)
Requirements
o Accounting background preferred, including experience in budgeting and financial reporting
o 2-5 years of experience in an administrative role (especially Finance and/or HR)
o Autonomy: self-driven, resourceful and able to operate with limited supervision
o Strong ability to manage own time: task prioritisation and multi-tasking under pressure
o Excellent verbal and written communication skills; ability to interact effectively with senior and junior colleagues
o Proficiency in Microsoft Office Suite and other office management software
o Attention to details and high quality standards.
