Provide secretarial support to the Chair
- Provide general administrative support in coordinating various meetings that are chaired by the School Chair.
- Manage Chair’s calendar and his/her various engagements to optimise their time.
- Coordinate and facilitate Chair’s travel arrangement (flight/hotel/transportation) including raising travel request and claims.
Event support and management
- Manage and coordinate School’s funding schemes for event support, working closely with the Head of Admin and the School Chair to ensure strategic alignment, transparancy, and optimal allocation of resources.
- Serve as the key advisor for event consultancy to guide event organisers in navigating procurement, administrative, and financial processes to ensure compliance and operational excellence.
- Drive the planning and execution of School-level events by taking charge of pre-event preparations, coordinate cross-functional teams for on-site support, and post-event follow-ups.
- Assist in coordinating visits to the school by external delegations, ensuring a professional and impactful experience.
General administration
- Update staff distribution lists in the School.
- Work with School HR and Facilities Office on general upkeep of offices, assignment of office/workspace to new faculty and staff.
- Procurement of goods and services for the School’s admin office and stationery store.
- Maintain and update School’s intranet
- Assist the Head of Admin with the administration of School’s schemes and initiatives
- Organise staff welfare activities
Requirements
- Bachelor’s degree in any discipline from a recognised university
- At least two years of administrative experience, preferably with event planning experience.
- Excellent communication and interpersonal skills.
- Strong organisational and time management skills.
- Attention to detail and accuracy.
- Proficiency in MS Office: Competent in Word, Excel, and PowerPoint for various administrative tasks.
- Adept in online communication tools, such as Microsoft Teams and Zoom.
