Admin Coordinator Roles & Responsibilities

  1. Administrative Support

    • Perform general administrative tasks to ensure the smooth operation of the department

    • Maintain organized and accurate filing systems for documentation, correspondence, and reports.

  2. Scheduling and Coordination

    • Liaise with customers, subcontractors (Sub-Con), main contractors (Main-Con), and internal stakeholders to schedule ACMV efficiently.

    • Ensure clear communication and timely updates on servicing schedules to all parties involved.

  3. Operations Support

    • Collaborate with department head to process and follow up on purchase requisitions for materials and services.

    • Ensure that purchase orders align with project requirements and timelines.

  4. Customer Service

    • Assist in addressing customer inquiries, providing accurate information and solutions.

    • Handle and follow up on customer feedback to ensure a high level of service satisfaction.

  5. Quotation Preparation

    • Prepare detailed and accurate quotations for customers based on their servicing or project requirements.

    • Coordinate with relevant departments to gather the necessary information for quotation accuracy.

  6. Data Management

    • Perform data entry tasks to update servicing records and reports systematically.

    • Maintain up-to-date and accessible databases for ongoing and completed projects.

  7. Contract Management

    • Monitor and manage project contracts to ensure compliance with terms and deadlines.

    • Assist in renewing, amending, or closing contracts as required.

  8. Ad-hoc Duties

    • Undertake any other tasks or responsibilities as assigned by the supervisor to support the team or organization.

This role requires strong organizational skills, attention to detail, and effective communication to ensure seamless operations and excellent customer service.

Requirement:

  • Diploman in Business Adminstration or related studies

  • 2~3 years of experience in construction industry

  • Positive working attitude and responsiveness

  • Can work independently with minimal supervision
