Clinic Assistant
Us Therapy is a private counselling clinic, consisting of a team of highly skilled and qualified psychologists who offer tailored, evidence-based, and non-judgmental psychological support to individuals, families, couples, children, adolescents, and organisations.
We want to provide the best care for our clients. We are committed to providing excellent customer service and helping all of our clients feel at home the minute they walk through the door. This role assists our clients (and their partners or families) in navigating their journey with Us Therapy.
This role is expected to work 40 hours per week, excluding lunch breaks. Working hours are 8.30am-5.30pm. You may be required to work evenings and Saturdays. This role will be based at Winstedt Road.
Responsibilities:
Front office activities for the clinic, including, but not limited to:
Respond promptly to new client enquiries via email/Whatsapp/website, answer phone calls during office hours, and allocate new clients to suitable clinicians based on the clinic’s client allocation processes
Schedule appointments for clients, communicate with clients/clinicians regarding sessions, and respond promptly to rescheduling/cancellation requests from clients
Log all new enquiries daily, and follow-up on pending bookings in a prompt and organised manner
Be the face of Us Therapy and greet clients when they arrive at the clinic, and ensure they feel heard if they have questions or concerns
Receive payments and sending client invoices at the end of sessions
Oversee and manage work of junior administrative assistants
Send thank you letters to referrals (e.g. GPs and other clinics)
Other tasks and opportunities
Work collaboratively with the Office Manager on ways to increase efficiency of booking clients and other key processes
Raise issues that impact services, e.g. logistical or technical issues, and work collaboratively with Office Manager on resolving these issues and implementing new, improved processes
work with finance manager to review caseloads and retention
Correspondence for the clinic
Perform administrative duties for Clinic Director (e.g. scheduling internal and external meetings)

You are entitled to fourteen (14) days paid Annual Leave per year (pro rata), with one day increase per year upon the completion of one year’s service from the date of confirmation of your employment. You are entitled to fourteen (14) days medical leave per year (pro rata).

Excellent customer service skills
Strong verbal and written skills in English
Ability to maintain confidentiality and handle sensitive information in an ethical manner, consistent with current PDPA, is essential
Strong collaborative and interpersonal skills
Able to raise questions and concerns when issues arise
Highly organised and able to balance different tasks
Self-motivated problem-solver
Exceptional communication skills, both written and verbal, to effectively interact with colleagues and clients
Requirements:
A Level & above
Minimum 1 year of professional experience in customer service/client-facing role
Preference for those with a background in healthcare
Past experience working in a mental health or medical setting will be a definite advantage
Proficient in Google Suite. Past experience using clinic management software or CRM software will be an advantage
Ability to commence work immediately is an added advantage
