Senior Assistant Manager/Manager, Research Administration
We invite applications for the position of Research Centre Administrator. The successful candidate will join National Centre for Advanced Integrated Photonics (NCAIP) to assist in a wide range of activities that need to be executed in an effective and efficient manner to support the smooth functioning of the centre.
Key responsibilities include but are not limited to:
Manage and ensure research grant administration policies, guidelines and terms and conditions are in accordance with the research grant funding agencies’ and institute’s regulations.
Manage administration of pre-award research grant processes from grant call to award, including grant call preparation, grant review, budget scrubbing and evaluation.
Monitoring of funds approved for each research grant call and tranche.
Perform administrative, budgetary and compliance checks and liaise with various units and departments.
Advise research teams on research grant processes and guidelines, human resource and financial administration guidelines.
Manage post-award research grant submissions of project amendment/deviation request, project progress and final reports.
Liaison with stakeholders, external parties and auditors.
Assist in organizing and facilitating research grants panel meetings, presentations, recording minutes and notes for committees and/or meetings and providing secretarial and logistical support.
Closely monitor the KPIs for the different programs and the utilization of the budget and update the Program PIs on a regular basis.
He/she will also need to and track the Actionable items from the Monthly PIs’ meeting. Manage and maintain research project databases, records and documents.
Assist with any other duties as and when assigned by supervisor.
Requirements
At least a bachelor’s degree in any fields.
At least 5 years of relevant working experience in research grant and/or project management in an educational institution.
Possess excellent writing, communication, and interpersonal skills.
Strong numerical skills and meticulous.
Strong planning and organizational skills.
Able to maintain high standards of confidentiality of sensitive materials.
Able to learn fast and multi-task.
Strong team player with the ability to work independently.
Familiar with HR functioning and grant management is an advantage.
Demonstrate excellent knowledge of MS Office applications and willingness to learn or use new IT software and applications as and when required.
