Roles & Responsibilities

1. Administrative Support

  • Manage day-to-day administrative tasks, including filing, data entry, and document preparation.

  • Assist in drafting and proofreading correspondence, reports, and official documents.

  • Maintain and organize office records, ensuring confidentiality and accuracy.

2. Scheduling and Coordination

  • Coordinate and schedule events for the Director.

  • Manage calendars and ensure timely communication of schedules to relevant parties.

  • Arrange travel and accommodation for Director, as needed.

3. Communication Management

  • Serve as the primary point of contact for incoming calls, emails, and inquiries.

  • Draft, distribute, and follow up on internal and external communications.

  • Liaise with vendors, clients, and other stakeholders to ensure smooth operations.

4. Office Management

  • Monitor office supplies and place orders to maintain adequate stock levels.

  • Ensure the office environment is organized, clean, and conducive to productivity.

  • Oversee office equipment maintenance and troubleshoot minor issues.

5. Data and Records Management

  • Maintain accurate and up-to-date databases and filing systems.

  • Handle sensitive and confidential information with discretion.

  • Compile, organize, and analyze data for management review when necessary.

6. Operational Support

  • Provide support for projects, including research, coordination, and execution of tasks.

  • Assist in tracking deadlines, deliverables, and progress on key initiatives.

  • Manage special assignments or ad-hoc duties as assigned by management.

7. Policy and Procedure Compliance

  • Ensure that administrative practices align with company policies and procedures.

  • Assist in the development and implementation of office policies.

8. Team Collaboration

  • Work closely with team members to ensure effective communication and coordination.

  • Strong organizational and multitasking abilities.

  • Proficiency in office software, such as Microsoft Office Suite and other relevant tools.

  • Excellent communication skills, both written and verbal.
