Operations Admin Assistant

- Expected salary: $1,600 - $2,000 per month
Roles & Responsibilities
1. Administrative Support
Manage day-to-day administrative tasks, including filing, data entry, and document preparation.
Assist in drafting and proofreading correspondence, reports, and official documents.
Maintain and organize office records, ensuring confidentiality and accuracy.
2. Scheduling and Coordination
Coordinate and schedule events for the Director.
Manage calendars and ensure timely communication of schedules to relevant parties.
Arrange travel and accommodation for Director, as needed.
3. Communication Management
Serve as the primary point of contact for incoming calls, emails, and inquiries.
Draft, distribute, and follow up on internal and external communications.
Liaise with vendors, clients, and other stakeholders to ensure smooth operations.
4. Office Management
Monitor office supplies and place orders to maintain adequate stock levels.
Ensure the office environment is organized, clean, and conducive to productivity.
Oversee office equipment maintenance and troubleshoot minor issues.
5. Data and Records Management
Maintain accurate and up-to-date databases and filing systems.
Handle sensitive and confidential information with discretion.
Compile, organize, and analyze data for management review when necessary.
6. Operational Support
Provide support for projects, including research, coordination, and execution of tasks.
Assist in tracking deadlines, deliverables, and progress on key initiatives.
Manage special assignments or ad-hoc duties as assigned by management.
7. Policy and Procedure Compliance
Ensure that administrative practices align with company policies and procedures.
Assist in the development and implementation of office policies.
8. Team Collaboration
Work closely with team members to ensure effective communication and coordination.

Strong organizational and multitasking abilities.
Proficiency in office software, such as Microsoft Office Suite and other relevant tools.
Excellent communication skills, both written and verbal.
High level of attention to detail and accuracy.
Ability to handle sensitive information with confidentiality.
