We are seeking an experienced and dynamic Undergraduate Academic Team Manager to lead and optimize our undergraduate academic operations. The ideal candidate will be a strategic professional responsible for overseeing and coordinating all aspects of undergraduate academic administration, managed by sub-teams handling timetabling, course registration, course proposals, examinations, and a premium scholarship programme. This role requires a proactive and analytical approach to coordinating various academic activities, managing a team, and ensuring smooth operational excellence across undergraduate education programs. The successful candidate will serve as a key liaison between various university stakeholders, develop and implement efficient administrative procedures, and contribute to the strategic growth and quality of our academic offerings.
Job Responsibilities
Strategic Leadership & Team Management
Lead and develop a high-performing team through optimal task assignment, mentorship, and guidance.
Foster a collaboative work environment that promotes innovation and excellence.
Implement and maintain effective communication channels across all sub-teams.
Work with Academic Lead to plan and participate in development of budgets, monitoring and approval of expenditures.
Perform forecasting and provide recommendations to inform budgetary decisions.
Operational Excellence
Oversee comprehensive academic operations including course registration, timetabling, and exam management.
Oversee timely placement of students for internship and exchange programmes.
Oversee daily operations and activities of the Undergraduate Office, identifying and executing tasks and objectives, making recommendations and assigning resources to achieve the goals and desired outputs.
Develop, revise, and implement standardized procedures and policies to enhance operational efficiency.
Establish and maintain a centralized information management system.
Ensure compliance with university’s and college’s policies, regulations, and deadlines.
Stakeholder Management
Oversee provision of academic and administrative advisory support services to students
Serve as the key contact and subject matter expert for the CCDS Undergraduate Office, liaising with internal and external stakeholders.
Work closely with the Associate Dean (Undergraduate Education) to build and maintain relationships with academic faculty and the Undergraduate Office.
Collaborate with relevant NTU offices to ensure that the marketing and branding efforts remain attractive and relevant in the recruitment and admission of high caliber students.
Represent the office in outreach activities, including orientation, matriculation, and recruitment events.
Data Analysis & Continuous Improvement
Collect data, create reports, generate and analyze statistics of various metrics of undergraduate programmes upon management or external stakeholders’ requests.
Review, formulate, and propose recommendations for process improvements.
Evaluate alternative solutions and implement changes in collaboration with stakeholders.
Qualifications
Required
A Bachelor’s degree with 8 years of relevant experience, preferably in an educational institution
IT savvy, proficient in MS Office applications and database management systems
Proven track record of managing teams and driving operational excellence
Strong understanding of academic operations
Excellent analytical and problem-solving skills
Proactive, meticulous and organized, with the ability to multi-task
Excellent interpersonal and communication (oral and written) skills
Preferred
Experience with academic information systems and data analytics
Knowledge of higher education policies and regulations
Track record of process improvement and innovation
Experience in budget management and financial planning
