Roles & Responsibilities

The Admin Executive will be based in one of the Active Aging Centres (AAC). They will perform administration duties, compilation, and submission of reports, as well as financial oversight for 2-4 AACs. In addition, they are expected to support daily operations in the AACs, as well as participating in and supporting special events and activities as required.

The Admin Executive expected to be familiar to and align with the objectives, vision and mission of REACH Community Services and REACH Senior Service when performing their tasks and duties. She is also expected to support the digitalization transformation of REACH Senior Service to automate operations and administrative tasks to improve efficiency and productivity.

Key Responsibilities:

  • Prepare and submit monthly, quarterly, and annual KPI reports for internal and external stakeholders.

  • Ensure accurate data collection and record-keeping practices across all Active Ageing Centres (AACs).

  • Oversee annual recruitment and renewals of AAC memberships, including fee collection and maintaining a membership database.

  • Coordinate transport arrangements, volunteer matching, and claims processing for the MET scheme.

  • Prepare and submit quarterly claims and reports.

  • Track and maintain training records for staff and volunteers.

  • Manage contracts and vendors for routine services, including pest control, air conditioning, cleaning, and supply restocking.

  • Process RFQs, Payment Vouchers, and petty cash for AAC operations.

  • Maintain financial records and support budget planning.

  • Manage account creation, updates, and training for IT systems used by AAC staff.

  • Maintain records for audits.

  • Support and evaluate engagement programmes for senior members, ensuring budget compliance.

  • Conduct health screenings and maintain health records for seniors.

  • Oversee the AAS system, provide emergency coverage during activations, and ensure client safety and well-being.

  • Undertake additional responsibilities as assigned by management.

Requirements

  • Possess at least a Diploma or General Degree

  • Having a diploma or higher qualification in Business Administration, Data Analysis or Actuary Science is greatly preferred but not necessary

  • At least 2 years of relevant experience

  • Conversant in English and a 2nd language

  • Good communication and interpersonal skills

  • Outgoing, energetic, self-motivated

  • Has a strong passion in outreach and community work with seniors
