We are seeking a proactive and organized Executive Assistant to support the executive team. The ideal candidate will have experience in handling executive-level administrative tasks, personal assistance, and event coordination. This position requires an individual with strong multitasking skills, excellent communication abilities, and a keen attention to detail. The role will be based in Singapore.

Key Responsibilities:

1. Executive Support:

  • Provide comprehensive administrative support to the executive team.
  • Manage calendars, schedule meetings, and arrange travel itineraries.
  • Prepare and organize reports, presentations, and documents for meetings.
  • Handle sensitive and confidential information with discretion.

2. Personal Assistant Duties:

  • Assist with personal tasks and errands as required.
  • Manage personal appointments, events, and daily logistics.
  • Coordinate with family and other stakeholders on personal-related tasks.

3. Event Coordination:

  • Plan and organize both corporate and personal events, including meetings, conferences, and social gatherings.
  • Coordinate with vendors, venues, and other suppliers for event logistics.
  • Ensure smooth event execution from start to finish.

4. Communication:

  • Serve as the point of contact between the executives and other staff members.
  • Handle correspondence (phone, email, etc.) on behalf of the executive team.
  • Maintain effective communication with external partners, clients, and stakeholders.

5. Other Administrative Duties:

  • Assist with document management, filing, and organization.
  • Provide ad hoc support as needed for special projects or requests.

Qualifications:

1. With a minimum of 3 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.

2. Proven experience in event planning and coordination.

3. Excellent organizational and time-management skills.

4. Strong verbal and written communication skills.

5. Ability to manage multiple tasks and prioritize effectively.

6. High level of discretion and professionalism.

7. Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

8. Experience in working with senior-level executives and managing sensitive information.
