TITLE: SEA (CW) Senior Facilities Coordinator
REPORTING TO: SEA CW Hub Lead
DIRECT REPORTS: NA
DUTIES & RESPONSIBILITIES
Site Operations Management
- Establish credible relationships and interact with teams regularly in the Area.
- Ensuring the implementation and compliance with Best Practice procedures
- Monitor critical and key performance measurements, working to achieve established targets
- Promptly inform Account Management on risk and support in executing follow-up actions and communications
- Oversee the completion of all required audits in the Area, aiming to meet or exceed set targets
- Standardize Operating Procedures and ensure compliance with Client’s policies and procedures, including all government regulations in the Area
- Ensure all legal and Client required H&S regulations are met
- Support manager’s requests where required
Finance Management
- Ensure all sites meet their financial targets and adhere to control requirements.
- Oversee PH & TH sites to ensure timely completion of standard monthly, quarterly, and annual reporting, including management reports.
- Provide guidance on Corrigo approval submission process and workflow as well as funding report requirements for each site.
- Offer instruction on Finance Agency template usage and associated processes.
- Guide teams on Finance Principal template utilization and procedures.
- Conduct weekly reviews of finance trackers, providing guidance and training as needed.
- Establish and communicate guidance for NDC send out processes.
- Support forecast reviews with the team
- Oversee categories spend allocation across all expenditures.
- Conduct Invoice Summary training sessions and review processes with teams.
- Offer guidance on GL listing creation and review procedures
LEADERSHIP
- Represent JLL by behaving consistently with cultural and company requirements.
- Provide services to client in keeping with client’s cultural and company requirements.
- Work unsupervised & manage to work well with others in the process.
- Assist colleagues with equipped excellent planning & organizational skills in prioritizing work and meeting tight deadlines
- Build and maintain an environment that supports teamwork, co-operation and performance excellence within team
- Mentor and enable Finance Training of team members
