About The Job
The Office of Associates Management (OAM) manages the appointments and onboarding of SUSS associate faculty. We also handle associated operational matters as well as facilitate engagement events. We believe that a motivated and engaged pool of associate faculty is crucial to our success.
You will be part of a team dedicated to providing proficient and professional management of operational matters and with particular attention to the aspects of engagement, relations, and people strategy.
Reports into a Senior Manager of OAM. Works closely with the team so that selected team members could be released at certain periods to work on the design and development of a new and robust IT system for Associates Administration.
What You Will Be Doing
Key Responsibilities
- Meticulous in following through the established process for issuance of contracts to associate faculty in a prompt and timely manner. Ensure that the contractual details correspond to the requirements of respective College, Schools, and Centers accurately. .
- Highlight to and work closely with the team to respond to any changing contractual needs or anticipated circumstances that might arise.
- Ensure fees payment to associate faculty on completion of their services are processed professionally and promptly, and in accordance with the terms of their contracts.
- Maintain an up-to-date records of associate faculty's’ details in the system. Ensure accuracy of the records in the system and take initiative to identify and follow-up on any missing information.
- Respond to queries from AFs in a professional and prompt fashion. Ideate and innovate solutions for ad-hoc enquiries or issues faced in business-as-usual activities while contributing towards building an engaged pool of associate faculty.
- Provide support to perform any other duties as assigned by the management or the department.
Job Requirements
- Degree Holder with at least 2 years or Diploma with at least 3 years of relevant working experience
- Experience in education industry and or HR/Finance-related work is an added advantage
- Mature, meticulous and possess high level of discretion and integrity
- Effective interpersonal skills with excellent command of written and spoken English
- Resourceful team player who is able to work independently and display initiative, innovativeness and ability to multi-task in a fast-paced environment
- Proficient in Microsoft Office applications
- Able to do data analysis and information research
- Ability to communicate well so as to act as liaison and help reach out to stakeholders, such as faculty and admin staff from other departments and divisions as well as associates and other stakeholders
