About Department and Purpose of the Position
The Executive Assistant will support the smooth and efficient functioning of Orthopaedic Surgery department, ensuring that communication, public relations, media, marketing, and administrative tasks are well-organized and effectively executed. This role encompasses a diverse set of responsibilities, including overseeing marketing and digital content, coordinating events and handling of budgets. The Executive Assistant will work closely with both internal and external stakeholders to enhance the organization's presence, streamline operations, and contribute to the overall success of the department.
Key Responsibilities
1. Assist in Department Collaterals (Print and Digital)
- Collaborate with relevant teams to create and manage print materials such as brochures, flyers, and newsletters.
- Maintain and update digital content for the organization, including videos, graphics, and online promotional material.
2. Manage Publicity Materials & Digital Platforms
- Oversee publicity materials across various media channels, ensuring consistency and alignment with organizational messaging.
- Manage digital marketing initiatives, website content, social media platforms (including Facebook), and digital signage.
3. Public, Corporate, Community, and Polyclinic Outreach
- Develop and execute outreach strategies to engage with the public, corporate partners, the community, and polyclinics.
- Foster positive relationships and create opportunities for collaboration, ensuring the organization maintains a strong, professional image.
4. Event Organization for Cluster and Department
- Plan and coordinate departmental events, including logistics, communications, and follow-up.
- Ensure all events align with organizational goals and foster team engagement.
5. Manage Training, Advertisement and Promotion Budget, & Staff Fund
- Assist in organizing training programs and manage the associated budget.
6. M&M Rounds, PRL, and Procedural Audits
- Coordinate M&M (Morbidity and Mortality) rounds, patient safety, and quality assurance activities.
- Oversee and manage the PRL (Peer Review List) and procedural audits to ensure adherence to standards.
7. Oversee Divisions Administrative Support
- Provide general administrative support to the divisions, ensuring smooth operations and efficient handling of correspondence, scheduling, and documentation.
Key Requirements
- Diploma in Business Administration or a related field
- Minimum 2 years of experience in clerical and administrative duties.
- Good organisational and multitasking abilities
- Good computer skills in Word, Excel and Power Point.
- Good communication and interactive skills.
- Able to work independently.
