The position holder will provide comprehensive administrative support in KK Research Centre (KKRC).

Responsibilities:

  • Oversees and performs a range of diverse administrative support to the department.
  • Serves as a primary point of direct administrative contact and liaison with other departments, individuals and external parties on a range of specified issues.
  • Prepares operational and administrative matters for the department’s new hires, including preparing name cards, access cards and putting up system requests.
  • Coordinates the monthly research coordination meeting, including scheduling, booking of venue, preparing the agenda and minute writing.
  • Establishes, updates and maintains department files, inventories and records in KKRC.
  • Support department functions including Course coordinator, Fire Safety, BCP, etc. as directed by the Manager.
  • Perform completeness checks for CIRB applications in iSHaRe in accordance with the CIRB Initial Application Checklist.
  • Maintain HOD’s calendar and appointment schedules.
  • Maintains and updates the department organization chart(s) and staff listing as reflected in the hospital e-Directory.
  • Requisites supplies, printing, maintenance and other services for the department.
  • Perform data entry tasks as assigned.

Requirements:

  • Diploma or GCE A Level / GCE O Level / ITE Certificate in Office Management or equivalent
  • At least 3 years of working experience will be preferrable
  • Fluent in written and spoken English and a 2nd language/dialect
  • Proficient in computer skills (MS Office, Word and Excel)
  • People-management skill, strong team-player
  • Meticulous with strong organization and coordination skills
