We are seeking an Admin & HR Officer to manage both office and human resources administrative functions. The ideal candidate will have a bachelor’s degree in Business Administration, Human Resources, or a related field, with at least 2 years of experience in office and HR administration.
This role requires proficiency in office software, strong problem-solving skills, and the ability to multitask and take initiative. The candidate should have experience in HR processes such as preparing employment contracts, issuing HR letters, and scheduling interviews. Excellent organizational, communication, and interpersonal skills are essential. Familiarity with health and safety regulations, inventory management, and vendor relationship management is also required.
Key Responsibilities
Office Administration:
- Oversee daily office operations, ensuring efficiency and smooth functioning.
- Manage inventory and order office supplies.
- Coordinate maintenance and repairs for office equipment and facilities.
- Organize office layouts and seating arrangements for new employees.
- Support planning of company events, meetings, and conferences.
- Handle incoming and outgoing correspondence.
- Ensure compliance with health and safety regulations.
- Maintain office cleanliness and a professional atmosphere.
- Manage administrative tasks such as:
o Checking and opening the company letterbox weekly.
o Renewing the office’s monthly season parking.
o Maintaining a telephone directory and employee contact list.
o Arranging courier services.
o Ordering and managing pantry supplies, stationery, and birthday cakes.
Human Resources Administration:
- Update and maintain the Organizational Chart.
- Prepare and analyze HR Reports as required.
- Draft and issue HR letters, such as confirmation letters or employment verification.
- Prepare Employment Contracts for new hires.
- Schedule and coordinate interviews with candidates and hiring managers.
- Assist in the onboarding process, including preparation of onboarding materials.
- Handle ad-hoc HR administrative duties as required.
Administrative Support:
- Provide administrative support to the Managing Director.
- Handle employee visa applications and prepare invitation letters for visiting colleagues.
- Arrange lunch for monthly management meetings.
- Register new joiners' thumbprints and deactivate leavers for door access.
- Manage vendor relationships and maintain the office vendor/supplier list.
- Requisition name cards.
- Maintain office service contracts (e.g., broadband, mobile line, lease).
- Source and book training/event locations.
IT Coordination & Support:
- Act as point of liaison and coordinator between employees and IT Manager in China for any technical issue.
- Support installation, configuration, and maintenance of hardware and software, working with IT Manager or coordinating support from external IT vendor.
- Assist with IT setup during quarterly townhalls.
- Assist with new laptop setup for new employees and software removal for old laptops.
- Set up new joiner telephone lines and business mobile contracts.
Requirements
- Bachelor’s degree in Business Administration, Human Resources, or a related field.
- At least 2 years of experience in office and HR administration.
- Proficiency in office software (e.g., MS Office Suite).
- Strong organizational and multitasking skills.
- Experience with travel coordination, event planning, and vendor management.
- Familiarity with health and safety regulations.
- Excellent communication and interpersonal skills.
- Ability to work independently and take initiative.
- Flexibility to handle additional responsibilities as needed.

Pay: $3,000.00 - $4,500.00 per month
