We are seeking an organized and proactive Associate Executive. In this role, you will provide secretarial and administrative support to ensure the smooth running of the department's operations.
Key Responsibilities:
Provide secretarial support to the Head of Department (HOD), including managing work arrangements, scheduling meetings, and resolving scheduling conflicts.
Perform internal and external liaison duties, handling communications via phone, email, and in-person visits to ensure efficient office management.
Support the Program Office’s daily operations, including document collation related to residents' funding and other administrative tasks.
Assist in organizing meetings, events, and sourcing faculty appreciation gifts.
Maintain databases for faculty and residents, manage webpages and email groups, and post announcements for internal and external stakeholders.
Generate reports and provide data as required by the Graduate Medical Education office or other stakeholders.
Perform data entry and maintain accurate resident information in Excel and Access databases.
Job Requirements:
Diploma in any discipline, with at least 2 years of relevant work experience.
Experience in healthcare or training environments is advantageous.
Strong team player with excellent interpersonal and communication skills.
Detail-oriented, independent, and able to work effectively in a fast-paced environment.
Proficiency in Microsoft Office is required; experience with Microsoft Access is a plus.
