Job Overview

We are looking for a friendly and detail-oriented Customer Service Assistant to join our sales team. The ideal candidate will provide excellent support to customers by addressing inquiries, resolving issues, and ensuring smooth order processing. This role requires strong communication skills, problem-solving abilities, and knowledge of the food industry.

Key Responsibilities

  1. Customer Support:Handle customer inquiries via phone, email, and in-person visits, ensuring a prompt and professional response.
    Resolve customer complaints and escalate issues to the manager when necessary.
    Provide product information, including pricing, availability, and delivery timelines.
  2. Order Management:Process customer orders accurately and ensure timely order fulfillment.
    Coordinate with the warehouse and logistics teams to track orders and deliveries.
    Manage order amendments, cancellations, and returns in line with company policies.
  3. Account Management:Build and maintain strong relationships with key customers.
    Assist with customer account setup and updates, ensuring accurate records in the CRM system.
    Follow up on outstanding payments and ensure timely collection.
  4. Coordination with Teams:Collaborate with the sales team to support customer retention and acquisition efforts.
    Work closely with the quality assurance and warehouse teams to address product or delivery concerns.
  5. Administrative Support:Maintain accurate and organized records of customer interactions, orders, and issues.
    Prepare and submit daily, weekly, and monthly reports on customer service activities.
    Assist with general office tasks, such as filing and data entry.

Qualifications and Skills

  • High school diploma or equivalent; additional education in Business, Customer Service, or related fields is a plus.
  • Proven experience in a customer service role, preferably in the food wholesale or related industry.
  • Strong communication and interpersonal skills.
  • Proficiency in using office software (e.g., Microsoft Office Suite) and CRM tools.
  • Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
  • Basic knowledge of food safety and handling practices is an advantage.
