Administration Assistant (Maternity Relief)

This role is to cover maternity relief for 6 months.

RESPONSIBILITIES

Administration

Maintain the central filing system for all office documents, including student confidential file

Issue fee invoices, collect school fees and issue receipts

Update and maintain monthly fee records

Data entry on Pre-Initial Screening

Preparation and distribution of enrolment and graduation packages

Collate and obtain quotations and purchase of teaching materials and/or office supplies

Manage student’s attendance record and ensure proper supporting documents are in place for audit purposes

Responsible for submission and registration of staff training

Organize and upkeep the updated copies of student / staff application forms, class lists and administrative documents, and distribute them to relevant teachers and/or students when necessary

Issue forms and documents to staff as and when requested

Support inventory workflow

Support operational workflow

Equipment Repair & Maintenance

To liaise with Association Facilities Department where any equipment or properties need repair and maintenance.

Others

Record EIPIC department meeting minutes and circulate to all concerned.

Undertake any other duties assigned by the EIPIC Head

REQUIREMENTS

• Minimum GCE ‘O’ Level with at least 2 years of working experience

• Competent in MS Office and Outlook

• Organized, meticulous and has good interpersonal skills

• Organize and neat

• Customer Service oriented

• Relevant experience in administration and/or receptionist duties
