We are seeking a friendly, organized, and professional Customer Service Executive to join our dental clinic team. The ideal candidate will be passionate about delivering outstanding patient experiences, assisting with appointment scheduling, answering inquiries, and ensuring the clinic’s front-office operations run smoothly. As a Customer Service Executive, you will be the first point of contact for patients and play a vital role in creating a welcoming environment while handling various administrative tasks.

Key Responsibilities:

  • Patient Interaction & Communication:
  • Greet patients warmly as they arrive and ensure a positive first impression.
  • Answer phone calls, emails, and online inquiries in a timely and professional manner.
  • Provide patients with information regarding services, treatments, and clinic policies.
  • Schedule patient appointments, reschedule or cancel appointments as necessary, and send appointment reminders.
  • Handle patient inquiries regarding treatment costs, insurance options, and billing processes.
  • Assist patients in completing necessary forms and paperwork before or during their visit.
  • Administrative Support:
  • Maintain accurate patient records in the clinic’s management system (e.g., contact details, medical history, treatment plans).
  • Verify insurance information and assist patients with understanding their coverage options.
  • Assist with patient check-in and check-out, ensuring all necessary paperwork and payments are processed.
  • Maintain and update the clinic’s schedule to minimize wait times and maximize efficiency.
  • Customer Service & Problem Resolution:
  • Address patient concerns, complaints, and feedback in a professional and empathetic manner.
  • Resolve scheduling conflicts and other administrative issues to ensure patient satisfaction.
  • Offer support and guidance to patients who need assistance with billing, insurance, or other clinic-related inquiries.
  • Follow up with patients post-treatment to ensure satisfaction and provide additional support if needed.
  • Team Collaboration:
  • Work closely with dental staff, including dentists, hygienists, and dental assistants, to ensure smooth patient flow.
  • Coordinate with the dental team to ensure timely updates about patient appointments, cancellations, or emergencies.
  • Support the clinic's overall operations by ensuring the reception area is clean, organized, and well-stocked with necessary materials (forms, brochures, etc.).
  • Clinic Operations:
  • Ensure that patient confidentiality and privacy are maintained at all times.
  • Assist in maintaining an organized filing system for patient records, treatment plans, and billing documents.
  • Monitor clinic inventory of office supplies and notify management of shortages or needs.

Pay: $2,500.00 - $4,000.00 per month
