Job Description:

We are seeking an organized and proactive Executive Assistant to support the Director of a high Performing Insurance Agency. The ideal candidate will be a highly professional individual with excellent communication and multitasking skills, capable of managing both business and personal tasks with discretion and efficiency.

As the PA to the Director, you will play a key role in streamlining daily operations, managing schedules, and ensuring the Director can focus on strategic priorities. This is a great opportunity for someone who thrives in a fast-paced environment and enjoys handling diverse tasks.

Key Responsibilities:

  • Diary and Schedule Management: Organize and manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Communication: Act as the first point of contact for internal and external stakeholders, handling calls, emails, and correspondence on behalf of the Director.
  • Meeting Preparation: Prepare agendas, take minutes during meetings, and follow up on action items.
  • Document Management: Organize and maintain important documents, reports, and presentations.
  • Expense Management: Track and process the Director’s expenses and ensure timely submission.
  • Personal Tasks: Assist with personal errands and tasks as needed.
  • Confidentiality: Handle sensitive information with the utmost discretion.

Requirements:

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
  • Must have the ability to communicate in Mandarin Chinese
  • Strong organizational and multitasking skills, with the ability to prioritize and meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and anticipate needs.
  • High level of professionalism, discretion, and confidentiality.
  • Flexibility and adaptability to changing priorities and tasks.

Preferred Qualifications:

  • Experience in the insurance industry or corporate environments.
  • Familiarity with travel management and event coordination.
  • Strong problem-solving skills and attention to detail.
