Job Summary:

The Operations Administrator plays a critical role in supporting the day-to-day functions of the operations department within the oil and gas industry. This position ensures smooth administrative processes, assists in project management, maintains operational records, and provides direct support to the Operations Manager and team members. The Operations Administrator must possess strong organizational skills, be highly detail-oriented, and have the ability to manage multiple tasks in a fast-paced and regulated environment.

Key Responsibilities:

- Administrative Support:

- Provide administrative assistance to the Operations Manager and other team members.

- Schedule meetings, prepare agendas, and take minutes for operational meetings.

- Manage correspondence, reports, and communications between departments.

- Documentation & Reporting:

- Ensure proper documentation and filing of operational data, including safety reports, equipment logs, and project records.

- Prepare, update, and distribute operational reports, spreadsheets, and presentations.

- Assist in the preparation and maintenance of regulatory and compliance documentation, ensuring all operations adhere to industry standards.

- Operational Coordination:

- Support the coordination of operational activities, including tracking project timelines, work schedules, and supply chain processes.

- Liaise with internal teams such as procurement, logistics, and health & safety to ensure smooth operation workflows.

- Assist in managing vendor and contractor relations by ensuring contracts, invoices, and communications are up to date.

- Data Management & Analysis:

- Collect and analyze operational data to identify trends, inefficiencies, and areas for improvement.

- Maintain databases related to operations, including personnel records, maintenance schedules, and inventory.

- Work closely with teams to ensure data integrity and accuracy for reporting and decision-making purposes.

- Compliance and Safety:

- Ensure adherence to health, safety, and environmental regulations by maintaining compliance records and assisting in audits.

- Support the tracking and updating of safety training, certifications, and compliance requirements for all personnel.

- Financial Support:

- Assist in monitoring budgets, purchase orders, and operational expenditures.

- Support the processing of invoices, ensuring timely payment and proper budget allocation.

- Project Assistance: (TBC)

- Aid in the planning, execution, and tracking of various operational projects, ensuring deliverables are met within set deadlines.

- Assist in resource planning and the allocation of equipment, manpower, and materials as needed.

Required Qualifications:

- Bachelor’s degree in business administration, Operations Management, or a related field (preferred).

- 2-5 years of experience in an administrative role, preferably within the oil and gas, energy, or industrial sectors.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

- Excellent organizational, multitasking, and time management skills.

- Strong attention to detail with the ability to handle sensitive and confidential information.

- Ability to work independently and collaboratively within a team environment.

- Knowledge of health, safety, and environmental standards within the oil and gas industry is a plus.

Pay: $2,500.00 - $4,800.00 per month
