About the role

The National University of Singapore invites applications for the position of Supervisor, Building and Facilities in the Department of Computer Science, School of Computing (SoC).

The successful incumbent will assist the School of Computing Space Management committee and to supervise/manage a small group of Building Facilities staff to provide support and services in building facilities (BuildFac) operations, including but not limited to managing venue renovations, event support and door access administration/operations, etc., within SoC premises.

Job Responsibilities

Operational Duties

  • Provide and maintain Building Facilities-related support, services, and maintenance, including day-to-day operations, events conducted in SoC premises, etc.
  • Plan for building facilities relocation and renovation when required and execute the plan.
  • Manage space, venue and room allocation and de-allocation.
  • Provide simple renovation design and drawing of floor plans.
  • Conduct full procurement process related to furniture and BuildFac-related services.
  • Ensure cleanliness of premises and environment.
  • Provide counter duties to students and staff.
  • Ensure physical security: key management, and door access system administration, maintenance, troubleshooting and technical operations.
  • Work with the SoC Safety Officer to conduct and coordinate fire safety checks and exercises.

Management Responsibilities

  • Request for and manage relevant budget.
  • Oversee BuildFac-related projects.
  • Propose and implement simple BuildFac-related policies.
  • Able to understand SoC’s business and advise on the effect on space management within SoC
  • Develop and document BuildFac-related services.
  • Simplify and optimize BuildFac-related processes.
  • Analyse and report effectiveness of BuildFac operations with data.
  • Prepare BuildFac-related statistics and reports.
  • Manage and track BuildFac-related job ticket/request system.
  • Ensure proper documentation of work.
  • Lead, supervise, manage and train a team of BuildFac staff.

Qualifications

  • Degree or diploma holders in Facilities Management, Building Services or relevant subjects. Degree or diploma holders in non-relevant subjects but with relevant work experience are also welcome to apply.
  • Must be adaptive, pro-active, self-motivated with positive work attitude.
  • Able to self-learn, multitask, work independently with minimal supervision, and work collaboratively in teams.
  • Analytical and good in problem-solving.
  • Good in written and spoken communications.
  • Good interpersonal skills.
  • Able to design and draw floor layout using Visio, AutoCAD or other equivalent software.
  • Able to understand business and IT processes.
  • Proficient in supervisory and leadership skills in managing the team.
  • Must also be proficient in conflict resolution.
  • Proficient in project management and able to work within tight deadlines.
