Key Responsibilities

Data Management & CRM Support

  • Collect, analyze, and input prospective client data into the CRM system to maintain accurate and up-to-date records.
  • Regularly review CRM activity, ensuring all interactions and communications are documented appropriately.
  • Generate and analyze reports, ensuring follow-up actions are taken where necessary.
  • Aid in marketing initiatives by preparing promotional materials and conducting outreach to investors/clients.
  • Distribute Market Mappings to clients/investors on a global scale.
  • Conduct ad hoc reports and research requests to support team needs.

Client Coordination & Management

  • Facilitate logistics for investor meetings and client roadshows (both physical and virtual), including flight bookings, accommodations, meeting venues, expense handling, and reimbursement processing.
  • Participate in client calls, take detailed minutes, and manage the review and upload process to the CRM system.
  • Ensure thorough documentation of all communications among team members, clients, and investors, including meeting notes and correspondence.
  • Prepare and timely send out regular reports to clients as requested.
  • Schedule meetings efficiently and manage team calendars, ensuring optimal time management.
  • Send confirmations for investor calls/meetings and verify the accuracy of contact information for investors.

Team Operations & Logistics

  • Ensure that marketing materials are always available and up-to-date for team use.
  • Collaborate with internal departments to manage operational needs, including travel arrangements, expense reimbursements, and other logistical requirements.
  • Coordinate the booking of meeting venues and maintain a systematic filing system for expense receipts.
  • Assist with additional projects and tasks as needed to support the team and organizational goals.

Qualifications:

  • Minimum of 5 years of experience in sales support, client relations, or a related administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) with a strong ability to learn new software tools.
  • Excellent written and verbal communication skills, with the capability to articulate ideas clearly and effectively.
  • Detail-oriented with exceptional organizational skills and the ability to manage multiple priorities simultaneously.
  • Must be eligible to work in Singapore.
