Overall Job Responsibility

Supports the HR Business Partner and HR Management teams in day-to-day operations and administrative functions including recruitment, staff onboarding, contract management, data collation and analytics, and other administrative matters.

Duties and Responsibilities

  • Recruitment Related Work
  • Posting out job advertisements on career/job portals
  • Filtering of applicants’ resumes, arranging for interviews and administering of written assessments where required
  • Conducting reference checks on candidates
  • Coordinating with Recruitment Agencies on the recruitment, onboarding, offboarding and other HR matters of temporary staff
  • Staff Onboarding
  • End-to-end coordination with IT Dept, hiring managers and staff on their onboarding, including arranging for induction briefing and issuance of laptops
  • Conducting inducting briefing for new staff
  • Updating and maintenance of staff records in staff directory
  • Management of staff access cards, business cards, and other standard items issued to staff
  • Contract Management
  • Administering and monitoring staff contract renewal, emplacement, re-employment, secondment cases
  • Administering and monitoring of staff’s completion of required forms (eg. conflict of interests, PDPA consent, performance appraisal form etc.)
  • Data Collation and Analytics
  • Collation of manpower, recruitment and other HR statistics
  • Extraction, collation and analysis of data for reporting purpose
  • Other Administrative Work
  • Putting up budget proposals for purchase of goods/services for the division
  • Creation and issuance of Purchase Requests (PRs)/Purchase Orders (POs) via the SAP system
  • Processing of vendors’ invoices for approval and payment
  • Digitalisation of records

Qualifications, Knowledge And Experience

  • Diploma holder in Human Resource or other relevant discipline
  • Minimally 3 years of relevant experience in Human Resource administrative work
  • Good command of English, effective in both written and verbal communication
  • Detail-oriented and able to work independently
  • Strong sense of urgency and able to multi-task effectively
  • Team player with effective interpersonal skills
  • Proactive, resourceful and resilient
  • Proficient in Microsoft Office particularly Excel
