About the Team

The Real Estate & Workplace team creates and continuously improves Workday’s productive and safe office environments while supporting our core values and distinction as a great place to work. With this critical contribution to the company in mind, we partner with other Workday departments such as People & Purpose, IT, and Finance to ensure that we are successful in delivering on this ultimate goal. We take care of all things “space” – programming new locations, delivering and managing them – everything from keeping our offices looking great to functioning well, safely and securely to ordering the snacks that our employees love!

About the Role

Workday is looking for a versatile Workplace Coordinator to join our growing team. This full-time position is based out of our Singapore location. This position will report to Manager, Real Estate & Workplace Operations, ASEAN region. We are looking for someone experienced, flexible, reliable, outgoing, and professional, with a positive work attitude. The ideal candidate will have experience in an administrative/office role in a fast-paced, rapid-growth company. They will need a wide range of skills from customer service to budget management.

In Workplace, it is essential that everyone encounters friendly and professional service and our offices are run efficiently and effectively. Our objective is to keep the Workday culture experience consistent across the portfolio and equip employees with the resources needed to excel in their jobs. As a Workplace Coordinator, you will own many key aspects of Workday life. Daily responsibilities may include but are not limited to:

  • Administrative duties: reception - greeting visitors and security, badging; meeting coordination; stocking of supplies and office supply ordering; maintaining office aesthetics; mail - receiving, delivering, and shipping out, etc.

  • Implementation of Workplace Programs and Operations (may include but not limited to): handling internal service ticket system requests; general office repairs; furniture or internal office moves; coordinate and help facilitate safety programs; budget tracking and expenses - requisitions and purchase order processing & submission, invoice tracking, credit card expenses, departmental actuals and accruals; monitoring space utilization and assigning work stations; new hire orientations; HR I9 processing, etc.

  • Work Life and Employee Programs: Helps facilitate, plan, and coordinate social events sponsored by Workday Life programs, i.e. Wellbeing, Giving and Doing, Belonging and Diversity, Benefits, and more.

  • Vendor Relationships : Experience with vendor relationship management is beneficial for the oversight of office-standard vendors such as coffee/snacks, office supplies, confidential shredding, first aid and plant maintenance, hvac, janitorial. At times, this person will act as the liaison with property management on all building/site issues.

  • Serves as a liaison/support between Workplace and other departments, such as: Safety, Business Technology, Benefits, Workday Life/Employee Programs, People & Purpose, Legal & Compliance, Marketing, etc.

About You

Basic Qualifications

  • Minimum of 3 year of facilities, workplace operations and/or customer service/hospitality industry experience

  • Experience reconciling budgets for day-to-day workplace operations

  • Experience with using Microsoft Office and various other types of office software


Other Qualifications

  • Experience in a fast-paced, professional setting preferred

  • College preferred

  • Key competencies include verbal and written communication skills, detail oriented, time management, and ability and willingness to take on new tasks, learn new technologies, and adapt to organizational changes.
