Job Description

The Senior Executive is key to assisting the Professor with daily administrative tasks, including managing schedules, handling correspondence, and organising meetings, prepare and proofread documents, reports, and presentations. And maintain organised meeting minutes, records and files. The position is also a liaison between the Professor and stakeholders internally and externally. Opportunities to assist team on community-based initiatives, which may involve research, outreach, and project coordination.

Duties & Responsibilities

Administrative Support:

Assist Professor with daily administrative tasks, including managing schedules, handling correspondence, and organising meetings

Prepare and proofread documents, reports, and presentations.

Maintain organised meeting minutes, records and files

Bilingual Communication

Act as a liaison between the Professor and stakeholders who communicate in English and either Mandarin, Malay, or Tamil.

Translate documents and communications as needed

Facilitate effective communication across language barriers

Community-Based Projects

Assist team on community-based initiatives, which may involve research, outreach, and project coordination

Engage with community members, organizations, and partners to support project objectives

Contribute innovative ideas and solutions to enhance project outcomes

Learning And Adaptation

Demonstrate a willingness to learn and adapt to new tasks and challenges

Stay updated on relevant research trends, best practices, and technologies

Continuously seek opportunities for personal and professional growth

Qualifications

  • Degree in sciences (preferred), or alternatively in business administration / management (with interest to learn a new field). Familiarity with the field of sciences especially Public Health / Life Sciences will be beneficial.
  • Possess minimally 2 years of working experience in administrative role. Prior research experience e.g. writing scientific manuscripts / reports is highly desirable.
  • Excellent analytical capabilities; able to collate reliable, scientific information (including source verification) and process data; takes initiative and possesses good problem-solving skills.
  • Studious and meticulous. Familiar with and skillful at Microsoft PowerPoint is particularly favoured.
  • Able to multitask, handle ambiguity and pressure, and is comfortable to work in a fast-paced environment.
  • Excellent communication skills, capable of engaging and maintaining effective working relationships with teams.
  • Preferably proficient in English and one of the following languages: Mandarin, Malay, or Tamil.
  • Professional, well-rounded problem-solver who is eager to learn and contribute to our dynamic team
