Duties & Responsibilities:

  • Support administrative duties, including budget tracking, data entry, documents filling, overseeing of goods & procurement flow, etc. in relation to events and visits.
  • Support events and visits, prepare, plan and coordinate electronic materials / presentations leading up to events.
  • Efficient document management such as printing and filing of the documents
  • Assist with day-to-day operations of the Sustainability office, including calendaring of the 2 Directors and arranging for meetings
  • Monitoring of office supplies
  • Handle accounting function of the department, keeping track of department’s budget and expenses.
  • Verify and ensure all invoices are recorded accurately.
  • Process payments to suppliers and handle suppliers’ inquiries for any payment related matters
  • Handle petty cash and monthly staff expenses claim
  • Taking minutes of Sustainability committee meeting and follow up actions.
  • Prepare monthly project progress reports
  • Other administrative duties as assigned by the supervisor.

Qualification, Skills & Abilities:

  • Candidate must possess at least a Diploma/Degree
  • Computer literacy and proficient in Microsoft Office and any Design software: Such as Canva, Adobe to assist in preparing e-materials for events and/or presentations
  • Good ability/experience & confidence in taking minutes relating to higher academic subjects a MUST
  • 5-8 years of relevant working experience. Support and personal assistance experience to marketing/creative centric organisations highly preferred
  • Meticulous and attention to details, and strong multi-tasking ability
  • Responsible, highly independent, proactive, show initiative to learn and adapt to changes.
  • Team player with good communication skills
